Johnson City Public Library has an opening for an Administrative Assistant. A staff member in this position supports the day-to-day administrative operations of the library under the supervision of the Business Manager. This staff member’s work involves general administrative duties, bookkeeping support, and office management. An employee in this class performs a wide variety of tasks and assumes responsibility for numerous records, activities, and other functions of the library administration. This position involves frequent contact with both the public and library personnel to interpret departmental policy. This employee is evaluated through observations and conferences and reports directly to the Business Manager.
Primary Duties and Responsibilities:
- Reviews cashier reports for accuracy and deposit
- Processes accounts payable/receivables
- Takes reservations from staff and the public for the library’s meeting facilities and prepares signage, invoices, and receipts for the same.
- Relieves the Business Manager of standard administrative matters and clerical details, and interprets administrative decisions and policies as explained by the Business Manager.
- Maintains records, transcribes, and types memos, letters, specialized reports, and other documents, often of a confidential nature.
- Uses computers and a variety of software, etc. for the purpose of organizing and maintaining a number of files and databases.
- Performs a wide variety of office administrative/clerical duties and handles special projects as assigned by the Business Manager or Director.
- Attends library board meetings as needed in the assistance of the Library Director.
- Serves as the Database Manager for the Washington County Imagination Library.
- Performs other duties as assigned.
This individual should possess a good command of the English language; possess the ability to write clearly and concisely; the ability to prepare reports in an acceptable manner and practice; the ability to maintain effective working relationships with superiors, employees, and the general public; thorough knowledge of modern office management practices, procedures, and machines; knowledge of basic principles in bookkeeping and fiscal record-keeping; ability to interpret rules, regulations, policies, and to make decisions in accordance with established precedent; ability to perform routine administrative detail independently, including the composition of letters, with only general instruction; great skill in performing duties such as typing, filing, and working with word processing, and spreadsheet databases; ability to maintain and keep complex records and to prepare reports with data from such records; ability to maintain a positive attitude in high-pressure situations.

Desirable Experience and Education: Completion of high school or GED, including or supplemented by typing, bookkeeping, and general business courses, preferably the completion of college level course work in business administration, accounting, or data processing concepts and some experience in performing clerical and accounting work; or any equivalent combination of experience and training which provides the required knowledge, skills, and abilities.

Physical Requirements: Tasks involve some physical effort, i.e. some standing and walking, or frequent light lifting (5-10 pounds) or other restricted physical activities. Manual dexterity in the use of fingers, limbs, or body in the operation of shop and office equipment; may involve extended periods of sitting at a keyboard.
Environmental Requirements: Tasks are regularly performed without exposure to adverse environmental conditions (e.g., dirt, cold, rain, fumes).
Sensory Requirements: Tasks require sound perception and discrimination; visual perception and discrimination; and oral communications ability.
Hours: Full-time, weekday “business hours”
Classification: Non-Exempt; Assistant II; pay grade 7; $15.21 per hour
